Job Summary
The Programming Coordinator supports the planning and execution of Downtown Boulder Partnership and Downtown Boulder Community Initiatives events, programs, activations, and member events. This role provides administrative, logistical, operational, marketing, sponsorship, volunteer, and documentation support to ensure programs are well-organized, professionally executed, and aligned with Downtown Boulder’s mission.
The Programming Coordinator plays an important hands-on role across many aspects of programming and events. The Coordinator works closely with the Vice President of Operations & Programming, Senior Programming Manager, internal staff, downtown businesses, volunteers, sponsors, exhibitors, vendors, contractors, and community partners.
Essential Responsibilities
Administrative and Planning Support
- Provide administrative support to the Vice President of Operations & Programming and Senior Programming Manager for organizational programs, events, activations, sponsorships, exhibitors, and related projects.
- Maintain internal guidelines, procedures, checklists, timelines, calendars, contact lists, planning documents, and shared event resources for DBP and DBCI events and programs.
- Support the creation and maintenance of event timelines, production schedules, task lists, run-of-show documents, and post-event follow-up materials.
- Track deadlines, deliverables, details, and outstanding tasks to help ensure events and programs remain on schedule.
- Assist with budget tracking, expense documentation, purchase coordination, and other administrative details as assigned.
Event and Program Logistics
- Support the Senior Programming Manager with logistical elements before, during, and after events, including event communications, vendor coordination, supply tracking, preparation, onsite execution, and follow-up.
- Assist with permitting documentation, rental coordination, purchases, supply orders, inventory tracking, equipment organization, and event materials.
- Manages communication with support staff, volunteers, intern, vendors, exhibitors, performers, and participants as needed.
- Assist with onsite event setup, execution, troubleshooting, teardown, and post-event organization.
Sponsorship and Exhibitor Administrative Support
- Provide administrative support for sponsorship and exhibitor sales after commitments are secured, including preparing and tracking agreements, invoices, payment status, sponsor and exhibitor details, deadlines, deliverables, and related communications.
- Maintain accurate sponsorship and exhibitor records to support event planning, onsite fulfillment, sponsor recognition, and post-event reporting.
- Coordinate with the Vice President of Operations & Programming, Senior Programming Manager, and other team members to ensure sponsor and exhibitor obligations are documented, communicated, and fulfilled.
- Support collection and organization of sponsor and exhibitor materials, logos, descriptions, forms, payments, and other required information.
Volunteer, Intern, and Event Support
- Coordinate volunteer and seasonal intern recruitment, scheduling, communication, and onsite support in partnership with the Senior Programming Manager.
- Help prepare volunteer and intern instructions, schedules, training materials, and onsite assignments.
- Provide support for team members and volunteer scheduling during events, including tracking coverage needs and communicating changes.
Communications, Websites, and Calendars
- Coordinate ongoing updates to event websites and event detail pages, ensuring information is accurate, timely, and complete.
- Update local and regional event calendars, including media, tourism, community, and partner calendars, annually and on an ongoing basis as needed.
- Support marketing and communications needs by gathering event details, deadlines, sponsor information, participant information, images, and other materials.
- Coordinate with internal staff to help ensure event communications are accurate and aligned across websites, calendars, signage, collateral, and other channels.
Evaluation and Documentation
- Support post-event retrospectives by gathering information, documenting feedback, tracking evaluation measures, and organizing notes on successes and areas for improvement.
- Assist with participant, sponsor, volunteer, business, and public surveys as needed.
- Help organize event data, reports, sponsor fulfillment notes, and post-event documentation.
- Support year-over-year improvements by maintaining accessible records, templates, and lessons learned.
Team Collaboration and Organizational Support
- Model teamwork, collaboration, flexibility, professionalism, and Downtown Boulder’s organizational values.
- Work closely with DBP staff, DBCI stakeholders, downtown businesses, sponsors, vendors, contractors, volunteers, and community partners.
- Support DBP member events, DBCI events, signature events, activations, and other organizational programs as needed.
- Perform other duties as assigned by the Vice President of Operations & Programming or Senior Programming Manager.

Experience and Education
- Bachelor’s degree from a four-year institution preferred.
- Related experience in event management, event production, administration, nonprofit programming, community programming, marketing support, or a related field preferred.
- Any equivalent combination of experience and education that provides the knowledge and abilities necessary to perform the essential functions of the position.
Candidate Qualities and Additional Role Information
The ideal candidate is outgoing, energetic, flexible, self-motivated, detail-oriented, collaborative, and comfortable working in a fast-paced environment. They should have a good sense of humor, a willingness to learn, a strong sense of initiative, and a willingness to pitch in wherever and whenever needed.
This is a hybrid position with a minimum of three days in-person requirement and work from home flexibility. What will you do?
A day in the life of a Supervisor at The North Face looks a little like this.
As a Supervisor, you play a key role in supporting the store’s leadership team and driving abets-in-class customer experience. You will lead by example, coach and develop associates, and ensure operational excellence across customer engagement, merchandising, and store standards. In partnership with the Store Manager and Assistant Store Manager, you will help maximize store profitability, foster an inclusive team culture, and contribute to the store’s success. What do you need to succeed?
We all bring unique skills to work each day. For this role, there are foundational skills needed to succeed, along with 1+ years of retail or store leadership experience in a fast-paced, customer-focused environment . A High School Diploma or equivalent is preferred; but we value hands-on experience and demonstrated achievements most.
The foundation skills you will need in this position are:
• Proven ability to drive results through store teams and exceed sales and profit goals.
• Skilled in coaching, motivating, and building high-performing, diverse teams.
• Strong verbal and written communication skills with the ability to influence across all levels.
